Head of Program

CoMotion is seeking a dynamic, strategic, and highly organized Head of Program to join our growing team. The Head of Program will report to the Managing Director and work closely with the US Head of Program and the rest of the CoMotion team, including the Marketing and Partnerships Teams. The Head of Program  will lead the project and team management for the curation and delivery of upcoming CoMotion events in Europe and the Middle-East and will be critical in shaping and executing CoMotion’s events and ensuring impactful, high-quality programming across our portfolio.

The Head of Program will work closely with leadership, internal teams, and external partners to design compelling content, manage high-level speakers, and oversee the successful delivery of complex, multi-day events. The ideal candidate is detail-oriented, thrives in fast-paced environments, and brings strong project management and people skills.  There is also the potential for quick growth into higher-level responsibilities and a leadership role. The Head of Program must be comfortable working with international entities.


Key Tasks

Program Strategy & Content Development

  • Design and implement compelling program formats and themes across CoMotion events in alignment with strategic goals

  • Develop a cohesive programmatic vision carried across sessions, workshops, site visits, and digital content

  • Research and write program-related content, including theme descriptions, session blurbs, and speaker bios, for use in marketing and communications

  • Maintain a growing idea database of potential speakers, themes, formats, and new content opportunities

Speaker & Partner Management

  • Collaborate with internal teams to brainstorm, identify, invite, and brief high-level speakers and moderators

  • Manage the end-to-end speaker process: outreach, confirmations, placement within the agenda, and briefings

  • Coordinate all speaker logistics: registration, travel arrangements, and communications

  • Liaise with partners involved in programming, such as sponsors hosting sessions, podcasts, or activations

  • Work with the Partnerships team to align programming with sponsor deliverables and strategic goals

Event Execution & Production Coordination

  • Collaborate with the Production Team to ensure venues and logistics meet all program needs (including reviewing venue and hotel block contracts)

  • Develop and manage detailed Run of Show documents for internal teams and external production staff

  • Lead pre-event logistics meetings and on-site stage management, including training and overseeing staff stage managers

  • Coordinate programming and production accounts for virtual sessions, digital meetings, and online program content

Marketing & Communications Support

  • Work closely with the Marketing Team to provide accurate and timely program updates for newsletters, websites, press releases, and social media

  • Add speakers and session details to the website and event platform(s)

  • Draft marketing content that highlights program highlights and drives engagement

Post-Event Duties & Evaluation

  • Oversee post-event processes, including speaker thank-you notes, survey distribution, and internal debriefs

  • Support program impact analysis and compile learnings to improve future events

Team Leadership & Project Management

  • Manage and mentor Program coordinators, inters and international programming staff (Europe & Middle East)

  • Create and maintain internal systems for programming operations, including task lists, project trackers, and speaker databases

  • Coordinate cross-functional timelines to ensure alignment with broader event milestones


Skills & Experience Required

  • Bachelor’s degree in a relevant field (e.g., Urban Studies, Political Science, International Relations, Communications, History, Transportation planning)

  • Minimum 5 years of experience in events, programming, or project management roles

  • Demonstrated interest or experience in urban mobility, smart cities, or transportation innovation is highly preferred

  • Demonstrates strong organizational skills, time management skills, and high attention to detail

  • Outstanding research, analytical, and communication skills — including the ability to craft compelling written content and engage confidently with senior-level professionals, government stakeholders, and subject matter experts

  • Highly organized, detail-oriented, and comfortable managing multiple projects in parallel

  • Strong leadership skills with experience supervising interns or junior staff

  • Dynamic, proactive, and creative with excellent problem-solving skills and the ability to adapt quickly

  • Comfortable working independently and collaboratively within an international team

  • Proficiency in Google Workspace and Microsoft Office; experience with Zoom, Bizzabo, or other event platforms a plus

  • Flexible and adaptable; able to travel and work nontraditional hours, as needed

  • One of French, Spanish and/or Arabic proficiency is a plus, but not required
